Computer Facility Software Installation PolicyComputer Facility Software Installation Policy

The Department of Information & Technology Services’ Computer Facility Software Installation Policy helps ensure that users have easy access to Otterbein’s computer labs and the software applications Otterbein’s educators teach.

Definitions

Installed software will be limited to packages that enhance and facilitate teaching, learning, and scholarly research. See Otterbein University’s Responsible Use of Information Technology Resources.

Abbreviations and Terms

Term Definition
CFST Computer Facilities Support Team.
Lab A computing facility maintained by the Computer Facilities Support Team.
License Documentation that conveys the legal right to use any portion of a commercial software program.
Requestor Faculty, staff, and approved guests.
Support Installation, Upgrade, Licensure, Management, and Maintenance of Software. Software support is classified as follows:
 
Local Software Software locally written and developed will be supported by the local author.
Supported/Licensed Software Software packages which CFST makes regularly available, maintains licensure for, manages, upgrades and supports.
Unsupported Software Software packages made available by CFST, for which CFST does not take responsibility nor provide end-user education.

Requirements

  1. Licensing – CFST will not install any software without conclusive proof that a valid license agreement exists for the requested number of installations. It is the responsibility of the requestor to provide proof and be responsible for any legal issues that may arise in connection with software installation or use.

  2. Number of Installations - The number of licensed software installations for any given lab for the duration of an entire quarter must equal the number of workstations in the entire lab. No partial installations are permitted since the functionality of labs is based on a single image.

  3. Unsupported and Local Software - Unsupported or local Software installation requests for temporary or preview purpose only will be considered on an individual basis. Consideration will be based on advance notice, academic or immediate purpose of software, time of academic year coupled with ongoing special projects, staff time to install and test, appropriate licensure or preview authorization, and ability of software to function as intended without impacting regular operation of lab image or security requirements of the lab.

  4. Interference and Systems Conflicts - If after installation, it is determined that Unsupported or Local Software interferes with the normal operation or causes negative interaction with Supported Software, CFST reserves the right to modify or uninstall the software. An agreement to install software does NOT guarantee its functionality or that it will be installed in the future.

  5. Software Installations - Software that accompanies a student’s textbook that requires an installation to run (not CD driven) must be installed in the lab image by Computer Facilities Manager. Students are not permitted to install software in any lab on campus.

  6. Removal - All software will be removed at the end of the academic year unless otherwise specified.

Procedure

  1. Requests - Software Installation requests for a complete lab installation should be made quarterly and one quarter in advance. Requests should be made using the Software Installation Request Form on the Information & Technology Services web pages (the information will be forwarded to the ITS Computer Facilities Manager. If you wish to keep your software installed longer than one quarter in the current academic year, specify which quarters.

  2. Additional Licenses - Additional licenses and upgrades are treated as new requests and must be done one quarter in advance.

  3. Temporary and Special Preview Software - Temporary or special preview software requests meeting above required criteria for consideration and approved by CFST for installation (see Requirements, #3 above) must be submitted no less than 10 working days in advance. License and/or preview authorization from the publisher is required even for temporary installation. This is not full quarter software, which is required one quarter in advance, but special preview for temporary purpose only.

Responsibilities of Computer Facilities Manager

  1. The Computer Facilities Support Team will test to insure that the software is network compatible and load without errors in the lab environment prior to actual installation in the lab.

  2. Computer Facilities Manager will provide notification of denial or approval of the installation of quarter or temporary software.

  3. Each quarter the Computer Facilities Manager will post and update a list of software that is installed in each lab as well as workstation hardware specifications and operating system platform.

  4. CFST will provide a current testbed machine in the IT Faculty/Staff Training Center located in Roush 15B to test software package feature functionality.

  5. Computer Facilities Manager will contact you at the end of each academic year concerning the retention of the software for the upcoming year.

Responsibilities of Requestor

  1. The Requestor will purchase the software and appropriate numbers of licenses for each requested software title and provide a copy of license documentation and software to Computer Facilities Manager to install.

  2. Requestor is responsible for providing software that runs on the labs’ version of the operating system and testing the software’s features to see if they are working correctly. CFST cannot know every aspect of every software package and if it is working as expected. The Requestor should test the software well in advance of the date it will be used. Troubleshooting can take time and Requestor is encouraged to provide a technical support number from the publisher of the software.

  3. The Requestor is responsible for informing CFST of the requirements for the unsupported software such as multimedia options, version of Internet browser required, special browser plug-ins, printer options, etc. as applicable.

  4. Requestor will be responsible for providing end-user education on the use of the unsupported and local software.

Responsibilities of Users

  1. Users will not be permitted to install any software on lab computers. (This includes software that accompanies textbooks.)

  2. If a problem arises with an installed piece of software in a lab, Users are encouraged to consult the Lab Assistant on duty or the Computer Facilities Manager.

  3. Questions on how to use special features of unsupported software and local software should be directed back to
    educators.
