I. What Are SLM Records

 

SLM records are full bibliographic records that we loaded monthly. They were cataloged by GPO and will overlay the brief SLS weekly records. The SLM load also contained the changed records. The changed records are the ones that recataloged by GPO because of the changes in sudoc number, item number, title, URL, issuing agency or any other changes. A lot of changed records are actually serial titles as they change more frequently than any other record types. Most likely the changed records will not overlay anything in the system as there are no previous records. They then become naked bib. After each slm load, Tony will create two lists: the overlaid list and the not overlaid list.

Each library then needs to print out their records from both lists.

 

II. Print out a list of the record loaded for your institution

 

To print out a list of the bib record loaded for your institution. Log on to OPAL, then choose:

 

M > MANAGEMENT information
L > Create LISTS of records
Choose the list for the new loaded slm records (overlaid one or the not overlaid one)
L > LIST some of the data in the review file records

After you specify all the fields you would like to print, press enter. The system will ask "Limit listing to a particular subset of records? (y/n) " Answer "yes". The system will then ask for specification.

 

Type"!" for Marc tag, then type "049" and enter
type "h" for has, then type in your oclc holding code (like "otc" for
Otterbein), then choose "s" to start the list.

Change "9 > Number items in list? (y/n).............................................n" from "n" to "y"
Change "8 > Print TITLE all in upper case? (y/n)....................................y" to "n"
Change "6 > Display meaning of fixed field, instead of value? (y/n).................n" to "y"
Change "3 > Print field labels for variable length fields? (y/n)....................n" to "y"
Choose "S > START print". You can then choose the print to email.

III. Processing the Overlaid SLM List

 

Check the location in the print out to see if the library's location code appears or not. If the library's location code appears in the location field, check and edit the item record as needed. Example:

 

a. Check the item location and itype. Change the location code, and itype if it is wrong in the system.
b. If the item is not received, either put a note in the item record and claim it or delete the item record

Type "e" to edit the bib record. Change suppression field from "m" to "u" (If it has already been changed to "u", leave as it is), type "q" to quit

 

If the library location code does appear and in 049 it indicates that the library choose the item, it can be because it is an changed record for the items received before the Marcive project. Find the item on the shelf and attach the item to the bib. Change suppression field in the bib record from "m" to "u".

 

IV. Attaching Records

 

There are three types of records that you can attach to a bib: item record, check-in record and holding record (check in record without check in card).

To attach an item record, Log on the system

D > Catalog DATABASE maintenance
U > UPDATE existing records (after this, type in your login and password)
B > BIBLIOGRAPHIC record
type .b# to bring up the record
A > ATTACH a New Record
I > ITEM Record
01 > item : Item record


Put in the
Proper itypes (Exp.078 for documents monograph)
Proper location code (Exp. otdoc for regular documents)
Change the call number tag to 086, enter and type in the Call number (All in upper case and pay attention to the spaces)


type in the barcode

"perform duplicate check, y/n" Answer "yes"

Put in icode1 information
Put in price information

If it is attaching items to a serial, type "I" to insert a field, type "v" for volume and type in the volume information

 

Type "e" to edit the bib record. Change suppression field from "m" to "u"
type "q" to quit


A > ADD record to data base

 

If the library location code does appear in the location, check to see if the item is properly attached (with the right sudoc number and the item is unsuppressed). If the item is properly attached, check to see if the bib record is unsuppressed with "u", otherwise change the suppression field (7) in the bib from "m" to "u". If the item attached is suppressed, Check to see if the item is being claimed. If it is being claimed and has not received for a long time, the item is probably not going to come and the item record can deleted from the system.

V. Processing the Not Overlaid SLM List

 

When a SLM record is not overlaid, it is a naked bib with no library's item attached to it.

Each library should be responsible to make sure that the titles with their holding information in 049 field are not naked bib.

 

Records may not have been overlaid due to:

 

· Incorrect entry of SuDoc number in shipping list record
· SuDoc number contains pts./v. designation in 086
· SuDoc number discrepancies
· GPO correction of SuDoc number
· Numbered series for which shipping list records have not been created or which are treated as serials
· Titles which have been deselected or transferred
· Y1,Y4s
· Mistagged 035
· Overlaid the brief record by 035 and thus could not overlay the existing full record with the same 001


To attach a item record, make sure you have the physical items in your library. If the item already has a barcode on the item, scan in the barcode into the system to find out the bib number. If the bib number is different than the Marcive bib, give the bib number as well as the Marcive bib to the cataloger to decide the best record to keep.

 

If you do not have physical items in your library, delete your library holding code in 049. If the 049 field only has your holding information and you don't have the physical item for some reason, and there is no url in the 856 field, you can delete the bib record. If there is URL in the 856 field, there should be an marcive url item record attached and you can unsuppress the bib to "u". If there is no Marcive Internet item record attached, please attach the url item record using the template 19 from attaching item record menu.

 

Please do not delete any records that has other library's holding information in 049 field. !!!

You can also attach check in records for serial titles. A holding record is a check in record without the check in card. See "Technical Processing for Marcive Serial Records" for more details.
